Securities, be they insurers, clients, silent agents, consultants etc are set up in the same way so that they can fulfil any required function. Note that the system also provides a Proposer Table designed for a larger number of Names and Addresses.

This screen allows the User to enter in the information for ALL partners. Insurers, Brokers, Clients, Agents, Solicitors, Assessors etc. It also allows the configuration of Revenue 'Pot' accounts for the collection of different revenue streams such as Brokerage, Bank fees, Admin fees and stamp duty as set up in the [FEES] screen.

When Selecting an Account code, special Characters should not be used for example !, %, & or spaces etc.

Roles are defined by suffix, permitted roles can be one or more of . (carrier) * (client) - (third party/silent agent) to authorise that partner for use in that capacity.

The use of a Proper name for Partners - those you directly transact with, is advised. Thus Assured Insurance Services would be named "ASINSV" for example, to differentiate from Assured Brokers Ltd "ASSUBS". The auto number allocation is recommended to be reserved for use on Original Assured's where NOVUS will assign a unique Account Code (like a Bank account number). This assists with recognising accounts in the system quickly.

If the partner is a member of a bureau, the bureau partner code should be entered in the Default Accounts "U/W" field.

Not all fields will be relevant to all types of Partners, these can simply be left blank.
EPARTNER allows codes set up in PARTNER to be enquired.

Using the PARTNER program users can request that the account be sent for checking. This will be reflected in the new Sanctions Checker panel in NOVUS.

The field called “Account Type” in PARTNER program is used to indicate whether the account is for a Company, Individual or Other, using the three letters "C", "I" or "O". This affects how the name is structured as it is passed to the Sanctions Check provider.

Zombie To indicate a Partner in Run off set Zombie to 'Z'. The Partner can no longer appear on new Markets, but accounting is performed within a dedicated integrated Zombie Ledger
Revenue Set this Code to be a designated Revenue account - The code must be 3 characters of less. typically XBK - Brokerage, XBS - Stamp Duty, XBA - Administration Fee etc Taxes and Fees can be collected within a Revenue Account for easy statement production on these dedicated accounts
Bureau Flag Set this to ‘Y’ if the security is a bureau. The system expects LYD, LPC and ILU to be the appropriate codes for Lloyd’s, London Processing Company (formerly PSAC, LIRMA) and Institute of London Underwriters respectively.
Stop Flag Set this to ‘Y’ to prevent future use of this security.
Status The Account can be set to a status as defined in CODES. Typically 'Stopped', 'Client Letter' and 'Under Advisement' for no restrictions leave as null. Stopped Accounts cannot be used on a Market and do not show in available Partners List of Values where used. The Command Console can be configured to trap the use of a Partner with a specific code for example 'Client Letter' and an appropriate action/Email/Message can be performed such as notify the Compliance Officer.

Mail Codes Partners can be categorised into Groups for Mailings. Reportage can be produced to supply name and address for merging with Standard letters. As all trading Partners are held in one central place it is desired that they can be categorised into their typical roll for mailing for example: Overseas Insurers, Overseas Brokers, Solicitors, Agents, Marine Brokers, Marine Insurers, Clients etc one Partner may have multiple mailing codes.
FAO Name of main Contact - as used in mailings
Salutation Appropriate version of their name for mailing: Sir, Mr Smith, James etc

Division List Partners can be permitted to be used by Users on one or more Divisions. This facility can be used to control Client or Insurer availability to a particular division for example if the Company wants to have three associated Agents of captive Brokers working as separate divisions but they must produce and maintain their own Clients. NB: In HELIX Partners can only be configured to be used on the Divisions that the User who is setting them up has permission to access - as set in WHO
Currencies Allowed Partners can be configured to only be able to transact in certain currencies. revenue accounts must have 'ALL'.
N/A Tax Codes If a Partner is exempt from a specific Tax then this is configured by entering that tax code (1 character) as set up in FEES
Country Codes Used in Reportage usually configured to represent the Country of Registration of the Partner
Flood Zone As set up in CODES


The Blacklisting box will appear black if the code has been blacklisted. By clicking on the 'Listed' button you can see the reason for blacklisting. If the flag has been subsequently cleared you can click on the 'Cleared' button to see the reason for clearing.

To set up an new Partner Account

  1. Type in the account code to be assigned (up to 8 Characters)
  2. User the [TAB] key to navigate through the fields completing all relevant data
  3. Gender and Date of birth are only relevant to private individual records
  4. Accounts can be Stopped at any time by setting "Stop flag" to "Y" to prevent further use of this account.
  5. Once all the fields have been completed press [SAVE]

NB: Setting up a Co Broker will prompt automatically in a Market setup to put in that third party as a co-Broker line. Setting up account codes in "Client" and "U/W" will result in the selected account codes being used to bock to on the market when this Account is acting as a Client or an Underwriter. 

To remove an Account

As with all codes used in relational database, Accounts cannot be removed. It is assumed that if it is no longer required the Stop Flag will be set to Y. The Account may have been used in some capacity at some stage and thus must still be listed on the Partner Account Codes table. This will prevent future use of the Account on new markets.

If the Account is no longer trading, the account can be placed on the Zombie Ledger to permit continued accounting and recoveries to take place.  This will remove it from the active accounts and place all historical accounting data in a separate Zombie Ledger, and their associated opposite sides.

If an Account has been set up in error, please consult Morning Data for assistance in correcting this situation.

Search mechanism

Here is a note on how the mechanism works:

Whilst in the Full Name field the User may press [f9] to search for existing matches.

Step 1. In the name field, the User enters ‘Mar’ and presses ‘tab’. An LOV Shows 3 existing records ‘Marek Cropper’, ‘Martial Services’ and ‘Marital Services’

Two routes can then take place.

1. Route 1. User accepts ‘Marek Cropper’. LOV brings ‘Marek Cropper’ into the name field and that partner record is queried. The record may be edited but the partner code cannot be changed.

2. Route 2. The User does not accept any of the matches i.e he ‘cancels’ from the LOV.
• The User remains in the name field.
• The User then edits the name and presses ‘tab’ Two examples of edit changes are:
a) To ‘Marek Cropper’ :- No LOV appears. A warning is issued to the effect that the name exists and the User proceeds to enter a new partner code for this name followed by other details of the record.
b) To ‘Martial Arts’: - No LOV appears. The User proceeds to enter a new partner code for this (new) name followed by other details of the record.

If the User returns back to the Full name (shift ‘tab’) from the Partner A/c or Short name, the search/matching mechanism is restarted.

To edit an existing record

To edit an existing record, for updates on partner information such as address, use EPARTNER, EPARTLIST or search mechanism as detailed above to access the record in enquiry mode. Then use the 'Explode this record' icon (pencil) to access the record for editing. This route should not be used to delete an account or amend the partner code - please see "To remove an account" above.

TOBA - Terms of Business Agreement

You can store a TOBA Inception date against a particular partner and there is a flag (Y/N) to indicate whether the TOBA is annually renewed.

The last field stored the NOVUS login of the last person to change the data.

This data is not currently used in any automated fashion but could be added to a diary trigger a specific time before a TOBA is due to renew.
